AI HR Bot

Employee guide

What you can ask AI HR Bot, and what it does with the answer.

Talking to it

Message the bot directly, or mention it in a channel. There is nothing to install and no account to create — it already knows your Slack account.

The first conversation is short: it fills in the profile it needs, and some of it is already there, read from your Slack profile. If something is wrong later, say so and it will correct it.

Asking about policy

Ask in your own words — how much notice a holiday needs, when payday is, what the wifi password is.

Answers come from the Knowledge Base entries your own HR team has written, not from the internet and not from a general model's guesses about employment. That has a consequence worth knowing: when there is no entry for what you asked, the bot tells you it does not know rather than making something up, and sends your question to HR. If they answer it, the bot has it from then on — for you and for everyone else.

Checking your Leave Balance

You have two balances: paid days off and vacation. Ask for either.

The figures are fractional, because days can accrue monthly — 1.6667 a month is an ordinary rate. What you are told is rounded down to two decimals, never up, so the number is never more than you actually hold.

Sick days and unpaid days off are not counted against a balance at all.

Filing a Request

Say what you want in a sentence — "I'd like Friday off", "I'm working from home Tuesday", "I'll be in around 10:30". The bot fills in the details, files the Request, and sends it to whoever your HR team decided should approve that kind of Request, usually your Lead and then your HR Contact.

You get a direct message when a decision lands. An approval comes with your updated balances; a denial comes with the reason the person who denied it gave.

Nothing stops you asking for more days than you have — the Request is filed and goes for approval like any other. Your balance will not go below zero, so if it is approved anyway, what you had is what comes off.

If you are new

Your Workspace may have a Waiting Period — a number of months you have to complete before you can spend a given kind of leave. It stops you spending, not earning: your days accrue the whole time.

If you ask for leave inside it, the bot tells you the date it unlocks and that your days are building up in the meantime, rather than just refusing. If your Hire Date is not on file it cannot work out how long you have been here, and it will say so — that is a field for HR to fill in, not you.

What it remembers

It keeps a Memory of things you tell it, so you do not have to repeat yourself, and the most recent entries inform later answers. Your HR team can read and delete that Memory from their dashboard. Your conversation with the bot is stored too — what that means in full is on our privacy page.
