Installing AI HR Bot

From signing up to a bot your team can talk to, in five steps.

1. Create your account

Sign up with your work email. The dashboard asks for your name, your email, and a password — nothing about your Slack Workspace yet.

2. Connect your Slack Workspace

Start the install from the dashboard, with the Connect Slack button. It has to start there: the dashboard mints a single-use install link, so a link that arrives any other way — a stale bookmark, a copied URL, a second attempt with one already used — connects nothing and sends you back to start the connection again.

Slack then shows you its own permission screen, listing five permissions. Every one of them, and what it is for, is on our security page.

The Slack account that runs the install is recorded as an HR Head for the Workspace. If someone else installs it later, they are added as an HR Head too, alongside you.

3. Activate the Workspace

Slack hands you back to the dashboard to finish setup. Your Workspace is connected at this point but not yet live, and the difference is visible: until you activate it, the bot answers every message with

This workspace isn't set up yet. Please finish setup on your dashboard first.

It stays quiet in every other respect too — no Knowledge Base questions, no reminders.

Activation needs three things: your company name, your Workspace's timezone, and at least one HR Head. The timezone is not cosmetic — Accrual lands on an Employee's monthiversary in Workspace-local time, so it decides which day someone's days arrive.

4. Teach it your policies

The Knowledge Base starts empty. There is no import step and no questionnaire to fill in: as an HR Head, you tell the bot what it needs to know in Slack, in your own words — "save this: our wifi password is …" — and it stores it as a Knowledge Base entry. You can list, correct, and delete entries the same way, by asking.

This part is Slack-only, deliberately. The dashboard has no Knowledge Base screen.

You do not have to finish it before letting your team in. When an Employee asks something the Knowledge Base cannot answer, the bot says so rather than guessing, and sends the question to the first HR Head listed for the Workspace as a direct message. Reply to that message with the answer and it becomes a Knowledge Base entry; reply "dismiss" and it will not ask again. Most Workspaces fill the gaps this way rather than up front.

5. Tell your team

Employees can message the bot directly or mention it in a channel. Nothing needs assigning first.

Requests work on day one: a fresh install seeds every Request type — day off, vacation, remote, late arrival — with the same Approval Chain, the Employee's Lead followed by their HR Contact. Change it whenever you like; the HR Head guide covers how.
